Privacy Policy

Sekoia Services Gérés inc. operates sekoia.ca and provides growth marketing services from Montreal. This policy explains what personal information we collect when you visit our site or get in touch, why we collect it, who we entrust it to, how long we keep it, and what rights you can exercise.
It is written to be read. If a passage seems unclear, write to us and we will reword it.

Quebec’s Act respecting the protection of personal information in the private sector (CQLR, c. P-39.1) provides, in section 3.1, that the person exercising the highest authority within the enterprise is responsible for the protection of personal information. At Sekoia, that role is held by the president, Fabien Fayard. You can reach him at services@sekoia.ca, with “personal information” in the subject line, or by mail at the address above.
2. What we collect
What you give us yourself
- Contact form and meeting requests: your name, email address, company name, your phone number if you choose to provide it, and the content of your message.
- Emails and calls: what you write or tell us, along with your contact details.
- Blog comments, where applicable: the name and email address you enter, and the content of your comment.
- Material you entrust to us during an engagement: access to your tools, exports, campaign data. This information is governed by our contract with you and by this policy.
What your browser sends automatically
Like any website, sekoia.ca receives certain technical information from your browser: your IP address, your browser type and version, your operating system, the pages you view, the date and time of your visit, and where applicable the site you came from. Our host keeps a record of this in its access logs, for security and troubleshooting.
What cookies collect
See section 5, which is devoted to them.
What we do not collect
- No sensitive information: no health data, no biometric data, no ethnic origin, no political or religious views, no sexual orientation.
- No credit card or banking details on the site: we sell nothing online.
- No user accounts: the site does not accept public registrations.
3. Why we collect it
The law requires us to determine our purposes before collecting anything, and to stick to them. Ours are as follows:
- Answering your request, and calling you back if that is what you ask for.
- Preparing and carrying out an engagement: drafting a proposal, doing the agreed work, invoicing you.
- Sending you communications you asked for, such as a newsletter or a piece of content you requested. Every message carries an unsubscribe link.
- Understanding how our site is used so we can improve it: which pages are read, which are not, where visitors come from.
- Protecting the site against abuse, fraud and intrusion attempts.
- Meeting our legal obligations, in particular tax and accounting ones.
We do not use your information for other purposes without asking you first.
4. On what basis, and how to withdraw your consent
Most of the time, we collect your information because you give it to us in order to obtain something from us: an answer, a proposal, a meeting. Under Quebec law your consent must be manifest, free and enlightened, and given for specific purposes. That is why we tell you what the fields we ask you to fill in are for, and why we never pre-tick a consent box.
You may withdraw your consent at any time, without having to justify yourself, by writing to services@sekoia.ca. Withdrawal applies going forward: it does not undo what we lawfully did beforehand, and it does not relieve us of what the law requires us to keep.
5. Cookies and trackers
A cookie is a small file placed on your device by a website. Some are essential to how the site works. Others measure audience or recognise a visitor from one visit to the next.
We use Cookiebot to collect and record your choice. On your first visit, a banner asks what you accept. Until you accept a category, cookies in that category are not placed, with the exception of strictly necessary cookies, which do not require consent.
The categories are:
- Necessary: they enable navigation and security, and remember your language choice and your cookie choice. Without them the site does not work.
- Statistics: they tell us, in aggregate, which pages are viewed and how visitors move through the site.
- Marketing: they let us measure the effect of our campaigns and, where applicable, show you our content on other platforms.
You can change your mind at any time by reopening the cookie panel from the banner, or by deleting cookies in your browser settings. Every browser also lets you refuse them in advance, at the cost of some features not working.
6. Who we entrust your information to
We do not sell your personal information and we do not trade it. We entrust it to suppliers who perform a specific service for us, each bound by a contract that forbids them from using it for their own purposes:
- WP Engine, website hosting.
- Cookiebot (Usercentrics), collecting and storing proof of your cookie consent.
- Google, for audience measurement, tag management and the map displayed on our Contact page.
- HubSpot, our customer relationship management system, where requests received through the site arrive and where we track our exchanges with you.
- Microsoft 365, our business email service, for the emails we exchange with you and the documents attached to them.
We may also disclose information where the law requires it, or to assert our rights before a court.
7. Information communicated outside Quebec
Several of the suppliers named above are established outside Quebec, in particular in the United States, and your information may be processed or stored there.
Quebec law requires us, before such a communication, to conduct a privacy impact assessment and to satisfy ourselves that the information will receive adequate protection, having regard in particular to generally recognised privacy principles, the legal framework of the destination country, and the contractual terms agreed. We carry out that assessment for each supplier we entrust personal information to, and we update it when the service changes.

8. How long we keep it
We keep your information only as long as necessary for the purposes for which we collected it, then destroy or anonymise it.
- Contact request with no follow-up: three years after our last exchange.
- Business relationship: for the duration of the engagement, then seven years from the end of the financial year concerned, to meet our tax and accounting obligations.
- Subscription to a communication: until you unsubscribe, then as long as needed to avoid signing you up again by mistake.
- Host technical logs: according to the host’s retention settings, for security purposes.
- Cookies: each has its own lifespan, shown in the cookie panel.
9. How we protect it
We take security measures proportionate to the sensitivity of the information we hold:
- The site is served over HTTPS, which encrypts exchanges between your browser and our servers.
- Access to the site’s administration requires two-factor authentication.
- Access to information is limited to the people on our team who need it to do their work.
- Our suppliers are chosen partly on the strength of the security measures they apply.
No measure is foolproof. Should a confidentiality incident presenting a risk of serious injury occur, we would notify the people concerned and the Commission d’accès à l’information, as the law requires, and we keep a register of such incidents.
10. Your rights
Quebec law gives you several rights over the personal information we hold about you.
- Access: you may ask us to confirm that we hold information about you and to provide it to you (section 27).
- Correction: you may have inaccurate, incomplete or equivocal information corrected, and have information whose collection was not authorised deleted (section 28).
- Portability: since 22 September 2024, you may ask that the computerised information you provided to us be communicated to you in a structured, commonly used technological format, or transferred to a third party you designate (section 27).
- De-indexing and cessation of dissemination: you may require us to stop disseminating personal information about you, or to have a hyperlink giving access to it de-indexed, in the cases set out in section 28.1.
- Withdrawal of consent: at any time, as explained in section 4.
- Information about an automated decision: see section 11.
How to exercise these rights. Write to services@sekoia.ca with “personal information” in the subject line, or write to us at the postal address in section 1. Describe what you are asking for. We may ask you to confirm your identity, so that we do not disclose your information to someone else.
Our deadline. We reply in writing no later than 30 days after receiving your request, as section 32 of the Act provides. If we fail to reply within that period, the law deems the request refused, which opens a remedy. If we refuse, we will give you our reasons and the provision of the Act we rely on, and we will tell you what remedies are available. Our replies are free of charge, apart from reasonable transcription or transmission fees, which we would tell you about before incurring them.
11. Automated decisions
We make no decision about you based exclusively on automated processing of your information. Our tools may sort or prioritise requests, but a person always intervenes before a decision concerning you is made.
Were that to change, we would inform you at the time of the decision, and you could ask us what information was used, what the principal factors and parameters were, and have that information corrected, as section 12.1 of the Act provides.
12. Minors
Our site and our services are aimed at businesses and professionals. They are not directed at children, and we do not knowingly collect information about a minor under 14. If you believe such information has reached us, write to us and we will delete it.
13. Links to other sites
Our site sometimes links to sites we do not operate. We are not responsible for their content or for their personal information practices. We invite you to read their own policy before entrusting anything to them.
14. Changes to this policy
We may amend this policy, in particular when our tools or the law change. The date of the last update appears at the top of the page. If a change materially affects how we handle your information, we will tell you by a reasonable means.
